QUARTERLY GENERAL MEETING/ANNUAL PICNIC

MINUTES OF MEETING

Meeting was called to order at 12:30 pm.
1. Welcome remarks by President
Introduction of attendees
2. Minutes of previous meeting -
a. Reading of minutes was deferred because it was not available. According to the President, the Secretary, Susan Chrismen, has asked to be relieved temporarily from her duties because she is busy in school.
b. Dina Ellorin was assigned to take the minutes of this meeting. She has accepted the responsibility to send notices of meetings to members.
3. Treasurer’s Report by Ann Napolitano
a. Although the Treasurer was unable to attend the meeting due to a personal commitment, she has sent her report and copies of Summary of Checking Activity were distributed to the members present.
b. Copy of bank statements was submitted to the President -
c. Per subsequent email of Ann –
Check #1179 – Ren Int’l was canceled because we decided to use Pentagon instead. Their check was cashed.
d. Actual total funds in Checking is - $8,081.02
e. US Treasury check for the non-profit status application remains pending. J. Sober will follow this up He commented that the agency is perhaps conducting intensive background checks on the applicants to determine possible ties with terrorist groups, particularly in Mindanao.
4. Book Drive for UP Mindanao
a. According to Jimmie Sober there are already 5 boxes of books stored in his garage that are ready to be shipped.
b. Pentagon is giving the association a break in cost for the shipment of a minimum of 10 boxes. There could be a total of 15 boxes that could be shipped.
c. Carlos Dequina pointed out that these books should be removed and that no member should take the burden of storing these books in their home.
d. MOTION was approved that all 15 boxes of books in the Sober residence be shipped asap to UP Mindanao via Pentagon Cargo at $58 per box.
5. Annual Scholarship Awards
a. Dina Ellorin stated that the Association should revive its Annual Scholarship Awards program to outstanding HS graduates of the association members primarily because it is stipulated in the By-Laws and that the Association should be proud to honor a recent outstanding high school graduate, the Valedictorian of her class, with 4.6 GPA and child of two UPA members (husband and wife), both former officers -- past president and treasurer for three terms. The last awardee was the son of the immediate past president, Juanita Santos Nacu, has recently graduated from college.
b. The body agreed to revive the Scholarship Awards program.
c. The chair of the Scholarship Committee is Dr. Nacu, being the immediate past president. Aurora Cudal stated that she and Juanita Caccam have been designated by the committee chair to be members of the committee.
d. It was brought-up that the monetary award will be determined by the committee; suggested to be $500 or even $1000.
6. UPAA- SD Directory Project by Boodgie Arce
a. UPAlumni will be solicited to be included in the directory. Ads will also be solicited for fee – to support the project. Target publication – October. Directory is proposed to be published every two years.
b. C. Dequina reminded the body that a proposal and budget be presented with every project, along with the means to raise funds.
He emphasized that although the association has funds, the officers should not make unwarranted expenditures; to give due respect to those in the past administration who have worked hard to raise these funds.
7. Newsletter and Official Web-site
C. Dequina will take on both projects. Articles and other write-up will be sent to him for publication.
8. Workshops –
a. Retirement planning by May Galang, to be scheduled at the KCS Fil Am Wellness Center in the near future
b. Trainor from WA, D.C. – Kathryn Bristol – care of A. Cudal and C. Dequina in October
c. A workshop by Dr. E. Matriano will be scheduled in November
9. UPAAA 2007 General Assembly and Convention in San Francisco, September 1-3
a. F. Arce, Mr. & Mrs. Cudal have confirmed to attend
b. Dr. Nacu was nominated for an Outstanding Alumni award but she declined because she cannot attend the convention.
c. Mr. Cudal was suggested to be nominated, however, the deadline for nomination was missed.
10. Memoirs of UP Alumni Abroad project –
Dr. Menchie Fulgado has sent receipts of payment of subscription to the San Diego editors – Dr. Cudal and Boodgie.
11. Fundraisers
a. Fashion Show c/o Betty Bael – will check on the possibility
b. Jam Session – Nov. 3, - suggested venue Champion Ballroom
12. Announcements
a. Philippine Cultural Arts Festival – August 11 & 12
The body approved the motion to set-up a half booth – shared w/ KCS
b. October Philippine Festival –
The body approved the association’s participation – by renting a booth to sell white elephant materials, T-shirts from the Philippines, Ron Somera’s books.
c. Islam Koran was donated to the association of the Filipino Islamic group – available for sign-out.
